Every UAE business loses money to the same quiet failure: invalid TRNs on customer or supplier records. The cost is hidden until it isn't — an 5,000 administrative penalty per non-compliant Tax Invoice under Cabinet Decision 49/2021 on the customer side, denial of input VAT recovery on the supplier side when the auditor finds a TRN that doesn't exist or has been deregistered, and the painful conversation with the customer who can't reclaim VAT on your invoice because your TRN was wrong on the PDF. HIBR ERP's TRN Validation module is a small feature with an outsized impact: every customer and supplier TRN is checked in real time against the FTA registry the moment it's entered, every TRN is revalidated on a 30-day rolling cycle, and any record whose TRN has gone inactive is flagged before it can produce a non-compliant invoice.
How it works
- Real-time check on creation. When you save a customer or supplier with a TRN, HIBR calls the FTA's TRN validation endpoint and returns the result in under 800 milliseconds. Result states: VALID + active, VALID + inactive (deregistered), or INVALID (not in the registry).
- Name-match scoring. The FTA validation also returns the legal name associated with the TRN. HIBR compares it to the name you entered and surfaces any mismatch — a fuzzy match score above 80% is auto-approved; below that the user is prompted to confirm.
- Rolling 30-day revalidation. Customer and supplier TRNs are silently rechecked on a rolling cycle. If a TRN deregisters, HIBR flags the record on the dashboard and (on Pro and Enterprise) blocks new invoice creation until acknowledged.
- Bulk validation for migrations. When you import a customer list from other UAE accounting tools, or a spreadsheet, HIBR runs a bulk TRN check across the whole import and flags problematic rows before they go live. Most migrations surface 2–6% invalid TRNs that the original system never noticed.
- Audit trail on every check. Every TRN validation request, response, and timestamp is logged in the immutable audit trail. If the FTA later queries a Tax Invoice issued to a TRN that has since deregistered, you can prove the TRN was active at the time of issue.
- API access for high-volume operations. On Enterprise, the TRN validation endpoint is exposed via HIBR's REST API for integration with marketplaces, custom apps, or upstream master-data tools.
UAE compliance details
TRN validation directly addresses three FTA compliance touch-points:
- Cabinet Decision 49/2021 on administrative penalties for tax violations — issuing a Tax Invoice or Tax Credit Note with incorrect information (including an invalid customer TRN) attracts 5,000 per occurrence. The TRN Validation module is designed to make this penalty preventable.
- Cabinet Decision 52/2017 (Article 59) — defines the mandatory inclusion of the customer's TRN on a Tax Invoice where the customer is a registered taxable person. Validating before issue ensures the TRN you print is accurate.
- Federal Decree-Law 8/2017 on VAT (Article 55) — input VAT recovery on a purchase invoice requires that the supplier's TRN be valid and that the supplier was registered at the time of supply. HIBR's supplier TRN check protects your input-VAT recovery.
- Federal Decree-Law 28/2022 on Tax Procedures (Article 7) — every taxable person is required to maintain accurate records of their counter-parties. The TRN audit log is admissible record-keeping evidence.
- FTA TRN validation service — the FTA publishes a TRN verification facility; HIBR is connected to the official validation endpoint so the result is authoritative.
Tier availability
Real-time TRN validation, name-match scoring, 30-day revalidation, and bulk migration check are included on every tier — Lite (199/month), Pro (499/month), and Enterprise (14,990/year). Frequently asked questions
What if my customer doesn't have a TRN (they're not VAT-registered)?
That's fine — VAT registration is mandatory only above 375,000 in taxable supplies (with voluntary registration available at 187,500). For non-registered customers, HIBR issues a Tax Invoice that omits the customer TRN field per Cabinet Decision 52/2017 Article 59(1)(j), which only requires the customer TRN where the recipient is a registered taxable person.
Can HIBR validate GCC TRNs (e.g. Saudi VAT numbers)?
Yes for GCC implementing states under the GCC VAT Framework Agreement (currently KSA, Bahrain, Oman). For other countries' VAT numbers (UK, EU, etc.), HIBR validates format only — there's no FTA-equivalent live registry to query for those jurisdictions.
What if the FTA validation service is down?
HIBR queues the validation and retries with exponential back-off. In the rare event of an extended outage, HIBR allows you to proceed with a warning flag on the record, which is re-checked automatically once the FTA service is restored.
